How the total is calculated

  1. Line items — each row is quantity × rate. Use hours for time-based work, quantity 1 for fixed fees.
  2. Expenses — billed-through costs are added to the subtotal at cost.
  3. Tax — the subtotal (items + expenses) × your tax rate, shown as its own line.
  4. Total due — subtotal + tax, in your chosen currency.

Frequently asked questions

Is this invoice calculator really free?
Yes — completely. No account, no email gate, no watermarked preview. Build the invoice, download the PDF. The PDF carries a small 'Powered by MailToInvoice' footer line, and that's the entire cost.
How do I calculate an invoice total with tax?
Sum your line items (hours × rate, or fixed fees), add any billed-through expenses to get the subtotal, then multiply the subtotal by your tax rate and add it on. Example: $2,400 subtotal at 8% tax = $192 tax, $2,592 total due. The calculator does this live as you type.
How do I calculate hours times my hourly rate?
Enter the description, the hours in the quantity column, and your hourly rate — the line amount is hours × rate. Mixed invoices work fine: put fixed-fee items on their own lines with quantity 1.
Can I add expenses to the invoice?
Yes — use 'Add expense' for billed-through costs like stock licenses, travel, or materials. Expenses are listed separately on the PDF and included in the subtotal before tax.
Can I turn this into a real invoice with a payment link?
Yes. Create a free MailToInvoice account and the same invoice becomes a numbered, branded invoice with a Stripe payment link — or skip the form entirely next time by forwarding the client's email.
