Invoice template for Google Docs

Download the free template below, then upload it to Google Drive — Docs converts the .docx format cleanly, keeping the layout and tables. Replace the bracketed placeholders, use File → Download → PDF to export, and send the PDF. Every required invoice field is pre-arranged for you.

How to use it, step by step

1. Download the .docx and upload to Drive. Drag the file into drive.google.com, then open it — Google Docs converts it automatically with layout intact.
2. Replace the placeholders. Your business details, the client's details, a sequential invoice number, and the issue/due dates.
3. Fill line items and totals. One row per deliverable with quantity × rate. Docs doesn't auto-calculate — do the arithmetic or use Google Sheets/the Excel template for formulas.
4. Download as PDF and send. File → Download → PDF Document, then email the PDF with the invoice number and amount in the subject.

When Google Docs is the right tool

• You work in Google Workspace and want the invoice in Drive with everything else
• You want to duplicate a doc per invoice and keep a running folder as your records
• You collaborate — a partner or bookkeeper can comment before it goes out

And when it isn’t

• You want automatic totals — Docs tables don't calculate; use Sheets, the Excel template, or the calculator
• You invoice from your phone between jobs — forwarding the client's email is faster than editing a doc on mobile
