Bill template
Download the free bill template below, replace the placeholders with your details, the customer's, and the line items, then export as PDF and send it. A bill and an invoice are the same document with different framing — 'bill' is what the payer calls it, 'invoice' is what the issuer calls it — so every required field is identical: identities, a number, dates, itemized charges, the total, and how to pay.
How to use it, step by step
- Download and open the template. Open bill-template.docx in Word, or upload it to Google Drive — Docs converts it cleanly.
- Fill in both parties and the bill number. Your business details, the customer's details, a sequential bill number, and the issue and due dates.
- Itemize the charges. One row per product or service: description, quantity, rate, amount. Show tax as its own line.
- Export as PDF and send. File → Save As → PDF. Send the PDF with the bill number and amount in the email subject.
When Bill is the right tool
- You sell products or services and your customers call the document a 'bill'
- You bill occasionally and want full control over the layout
- You need a generic charging document that isn't tied to any software
And when it isn’t
- You want totals calculated automatically — use the Excel template or the free calculator
- The charges are already agreed in an email — forwarding it is faster than any template
Every method lands on the same seven required fields — covered in how to invoice a client. Compare all the ways to make one in how to make an invoice, or let the arithmetic happen live in the free invoice calculator.
Frequently asked questions
What's the difference between a bill and an invoice?
Nothing structural — they're the same document viewed from opposite sides. The issuer calls it an invoice; the payer calls it a bill. Both need the same fields: both parties' details, a unique number, dates, itemized charges with amounts, the total with tax separate, and payment instructions.
How do I make a bill for my customer?
Download a bill template, fill in your details, the customer's, a sequential number, the itemized charges, and the total, then export it as a PDF and send it. Or skip the template: forward the email where the charges were agreed to MailToInvoice and a finished, payable document comes back in about a minute.
Is this bill template really free?
Yes — direct download, no email gate, no account, no watermark. Use it commercially as much as you like.
What fields does the bill template include?
All required fields: your business identity, the customer's details, a unique bill number, issue and due dates, itemized charges with quantity × rate, totals with tax broken out, and a payment section.
