How to use it, step by step

1. Download and open in any PDF reader. macOS Preview, Adobe Acrobat Reader, or a browser tab all support the form fields.
2. Type into the fields. Business details, BILLED TO, sequential invoice number, dates, then one row per line item.
3. Compute amounts and totals. Amount = quantity × rate per row; total due = amounts + tax. The free invoice calculator does this arithmetic if you'd rather not.
4. Save and send. Save the filled PDF and email it with the invoice number and amount in the subject. Keep a copy — sequential numbering plus saved PDFs is a complete record system.

When PDF is the right tool

• You want to fill and send without opening Word, Excel, or a design tool
• You need something a client can also fill (e.g., purchase-order style workflows)
• You're on a locked-down machine where a PDF reader is the only tool available

And when it isn’t
