Download the free .xlsx below — it calculates for you. Each line's amount is quantity × rate, and subtotal, tax, and total due update automatically as you type. Fill the placeholders, set your tax rate, then export via File → Save As → PDF before sending.

How to use it, step by step

1. Download and open the workbook. Works in Excel, Google Sheets (upload to Drive), and Numbers — the formulas carry over.
2. Fill your details and the client's. FROM block, BILLED TO block, sequential invoice number, issue and due dates.
3. Enter line items — the math is done for you. Description, quantity, rate per row; the amount, subtotal, tax, and total due calculate automatically. Set your tax rate in the TAX RATE cell.
4. Export as PDF and send. File → Save As → PDF (or Download → PDF in Sheets). Send the PDF, keep the .xlsx as your record.

When Excel is the right tool

• Presentation is the priority — Word or Canva give finer layout control
