Terms of Service
The short version: MailToInvoice turns emails you forward into invoices. You’re responsible for the accuracy of invoices you send and for your tax obligations; we provide the tool, not accounting or legal advice. Free covers three invoices open at a time; Pro is $12/month, cancel anytime.
1. The agreement
These terms are between you and Zen Acquire LLC(“we”), the operator of MailToInvoice. By creating an account or using the service you accept them. If you use MailToInvoice for a business, you accept on that business’s behalf.
2. The service
MailToInvoice generates invoices from emails you forward, from data you enter in our free tools, and from your account settings; renders them as PDFs; and can create payment links through Stripe. AI extraction produces a draft that is sent to you for review — you are responsible for verifying every invoice before sending it to a client. We never send an invoice to your client without your action.
3. Plans and billing
- Free — up to three invoices openat any one time, with a “Powered by MailToInvoice” footer on PDFs. The limit counts unpaid invoices, not invoices per month: when one is settled, the slot becomes available again, so there is no monthly ceiling on how many you can send.
- Pro — $12/month (or $99/year where offered): unlimited invoices, every premium template, your logo and brand color on PDFs, branded invoice links, client-open tracking, automatic payment reminders, and no footer.
Pro renews automatically until cancelled; cancelling stops future charges and Pro features continue to the end of the paid period. Payments are processed by Stripe. We may change pricing with 30 days’ notice; changes apply from your next renewal.
4. Payments to you
Payment links are created on your own Stripe account, which you connect to MailToInvoice. The money your clients pay flows directly to you through Stripe — we are not a party to the transaction between you and your client, we never hold your funds, and Stripe’s own terms govern your Stripe account.
5. Your responsibilities
- Only forward emails you have the right to process; only invoice for real goods and services.
- Verify amounts, tax, and recipient details before sending any invoice — invoices are your legal documents, not ours.
- Your tax compliance (rates, registration, filing) is yours; MailToInvoice is not tax, legal, or accounting advice.
- No unlawful, fraudulent, or abusive use — including fake invoices, spam, or invoicing people who owe you nothing.
- Keep your sign-in email account secure; it is your key to MailToInvoice.
6. Your data
Your invoices and account data are yours. We process them as described in the Privacy Policy: we do not train AI models on your data, and we never store card or bank numbers. Forwarded email is processed to extract invoice fields — we keep the resulting invoice and the message ID, our email provider retains messages under its own policy, and the AI providers may briefly retain what is sent to them under theirs. You can export your invoices (CSV) and delete your account at any time.
7. Availability and disclaimers
We aim for the service to be fast and reliable, but it is provided “as is” without warranties. AI extraction can make mistakes — that is why every invoice comes to you first. We are not liable for errors in invoices you approved and sent, for delays in email delivery, or for the acts of payment processors.
8. Liability cap
To the maximum extent permitted by law, our total liability for any claim related to the service is limited to the amount you paid us in the 12 months before the claim. We are not liable for indirect, incidental, or consequential damages, including lost profits or lost business.
9. Termination
You can stop using the service and delete your account at any time. We may suspend or terminate accounts that violate these terms; where practical we’ll warn you first and give you a chance to export your data.
10. Changes and contact
We may update these terms; material changes will be announced by email at least 14 days before they take effect. Questions: legal@mailtoinvoice.com.
