Invoice template for Word
Download the free .docx below, replace the bracketed placeholders with your details and line items, then export it as a PDF via File → Save As → PDF before sending. The template includes every required invoice field: business identity, client details, invoice number, dates, line items, totals with tax, and payment instructions.
How to use it, step by step
- Download and open the template. Open invoice-template.docx in Microsoft Word (or LibreOffice/Pages — the layout carries over).
- Replace the bracketed placeholders. Your business details top-left, the client's under BILLED TO, and a sequential invoice number and dates on the right.
- Fill the line items. One row per deliverable: description, quantity, rate, amount. Delete unused rows. Update subtotal, tax, and total — Word doesn't calculate for you.
- Export as PDF and send. File → Save As → PDF. Email the PDF, never the editable .docx, with the invoice number and amount in the subject line.
When Microsoft Word is the right tool

- You invoice occasionally — a few times a month or less
- Your invoices are simple: a handful of line items, one tax rate
And when it isn’t
- You want totals calculated for you — use the Excel template or the free calculator
- You invoice weekly — re-typing details every time is exactly the chore automation removes
Every method lands on the same seven required fields — covered in how to invoice a client. Compare all the ways to make one in how to make an invoice, or let the arithmetic happen live in the free invoice calculator.
Frequently asked questions
How do I make an invoice in Word?
Download an invoice template (.docx), replace the placeholder business details, client details, invoice number, and dates, fill in your line items with quantities and rates, compute the total, then export as PDF via File → Save As → PDF and email the PDF to your client.
Does Word calculate invoice totals automatically?
No — Word tables don't recalculate like a spreadsheet. Multiply quantity × rate for each line and sum them yourself, or use the Excel template or a free online invoice calculator if you want the math done for you.

All seven required invoice fields: your business identity, the client's details, a unique invoice number, issue and due dates, line items with quantity × rate, totals with tax broken out, and a payment section.
